The short version
- Consultations are free.
- You pay only for care that is actually provided.
- Give us 24 hours' notice to cancel a visit. We always fix billing mistakes.
1. Who this policy covers
This policy applies to clients who pay for services directly ("private pay"). If your care is paid by Medicaid, a managed long-term care plan, Medicare, or private insurance, billing and any refunds follow that payer's rules, and you will not be charged for covered services beyond any amount the payer allows. Your written service agreement may include additional terms. If it differs from this policy, your agreement controls.
2. Free consultation
Your first consultation and care assessment discussion is free, with no obligation.
3. Billing for care
Private-pay services are billed for the hours or visits actually provided, at the rates in your service agreement. If a payment or deposit is made in advance, any unused amount is applied to future care or refunded as described below.
4. Cancelling or rescheduling a visit
- With at least 24 hours' notice: no charge.
- With less than 24 hours' notice: a late cancellation fee may apply, as stated in your service agreement.
- Emergencies: we waive the fee for hospital admissions, medical emergencies, or a death in the family.
- If we cancel: you are never charged for a visit we could not staff.
5. Ending services
You may end services at any time by calling our office. Please give as much notice as you can so we can plan safely. You pay for care provided up to your end date. Any prepaid amount for care that was not provided is refunded.
6. When we issue refunds
We will refund or credit your account if:
- you were charged more than once for the same service;
- you were charged for hours or visits that were not provided;
- you were charged the wrong rate;
- you have an unused prepaid balance when services end.
Other concerns about the quality of care or billing are reviewed case by case. Please talk with us. We want to make things right.
7. How to request a refund
Call or email our office within 60 days of the charge with the client's name, the date of service, and the amount in question. We will review your request and reply within 10 business days. Approved refunds are issued to the original payment method or by check, usually within 14 business days after approval.
8. Payment disputes
Please contact us before disputing a charge with your bank or card company. We can usually resolve billing questions faster directly.
